Finding SHARES Reporting Errors

I receive lots of calls from grantees concerned their SHARES report doesn’t indicate a true number of points earned. Typically, a date has been entered incorrectly or not entered at all. For example, the dates of eligibility and loan closings have to be entered in the Borrower’s Screen, page 1 and page 1 of the Construction screen. The completion date of tasks is another common place to insert a date incorrectly. One indicator of a date being entered incorrectly is the total earned units on the Construction report are different than the SHARES report.

In this case the grantee hadn’t entered the dates of eligibility and loan closing on page 1 of the Construction screen.

Another grantee called, perplexed because they didn’t show all the EU’s they thought they earned. Upon further research we found a date on the Borrower’s Construction screen, page 2, a completion date was entered as 3011 instead of 2011. SHARES didn’t count the task as completed yet – it wouldn’t count it until we reached the year 3011.

Check to see if the Eligibility and Closing dates are correct!

Be sure to fill in all cells and check the correct year is entered.

Check for dates being entered incorrectly, especially the YEAR.

Lastly, if you can’t see any errors have a fresh eye take a look! It is not uncommon to look at the incorrect date and not see it. Our eyes play tricks on us and they see what we think they should see.
